COREXECUTIVE ("we", "us", "our") is committed to protecting your personal information in line with South Africa's Protection of Personal Information Act (POPIA). This policy explains what we collect, why, and how it is protected.
When you make an enquiry, we collect your name, contact details and the content of your message. If your enquiry becomes a booking, we ask you to complete a private client profile, which may include: contact and emergency contact details, dietary and wellbeing preferences, passport and identity document details, passport country and expiry, visa status, and any medical conditions or allergies relevant to your safety during the trip.
We use this information solely to plan, coordinate and deliver the travel and wellbeing arrangements you request — booking accommodation and transfers correctly, briefing suppliers on relevant preferences or medical needs, and confirming travel documents meet your itinerary's requirements. We do not use your information for marketing to third parties, and we do not sell personal information.
Passport numbers, identity numbers and medical notes are stored encrypted, and every time a staff member views one, that access is logged. Your client profile is submitted through a private, single-use link and transmitted securely — never by ordinary email. Access within our operations system is restricted by role: only the staff who need a category of information to do their job can see it.
We share only what a specific supplier needs to fulfil your booking — for example, a lodge may receive your name and dietary requirements, but not your passport number unless the destination specifically requires it for check-in. We do not share your information with any party outside of delivering your trip.
We retain your information for as long as needed to deliver your trip and meet our financial record-keeping obligations. You may request deletion of your personal data at any time (see Section 7); certain financial records relating to invoices may be retained as required by law even after a deletion request.
Where you tell us a trip involves international travel, we use your passport and visa information to advise on and help coordinate documentation requirements for your destination. Confirming your own visa and passport validity remains your responsibility — see our Terms & Conditions.
